Supplier Rationalization & Vendor Master Cleanup

Most vendor masters hold duplicates, suppliers nobody has paid in years and one-time suppliers set up for a single order. LeVasseur Consultants cleans up the vendor master, cuts the supplier list down to the suppliers you need and sets the rules that keep it clean.

An Old Vendor Record Is a Payment Risk

Duplicate vendor records make duplicate payments more likely, because most systems only catch a repeated invoice number within the same vendor record. The Washington State Auditor’s Office recommends reviewing the vendor master at least once a year, removing duplicates and inactivating vendors that are no longer used.

Old records are also a route for fraud. A Tennessee Valley Authority inspector general audit of one vendor master found duplicate vendors, vendors not deactivated on time and vendor addresses that matched employee addresses. Business email compromise, where a fraudster poses as a supplier or executive to redirect a payment, accounted for $2.77 billion in reported losses in 2024, according to the FBI’s Internet Crime Report.

Clean It Up, Then Keep It Clean

Duplicate and inactive vendor cleanup

We find duplicates by tax ID, bank details, address and name variants, and list vendors with no payments in a set period. You approve each merge or inactivation, and we document it.

Supplier onboarding standards

One checklist for adding a supplier: who can request it, which documents are required, how bank details are confirmed and who approves. The person who adds suppliers is not the person who pays them.

Vendor master data governance

Required fields, naming rules, who may change bank details, how every change is confirmed with the supplier through contact details already on file, and a yearly review date with a named owner.

Supplier consolidation

We group suppliers by what you buy from them and move repeat categories to fewer suppliers, so you buy more from suppliers you already know.

Keeping one-time suppliers out

A supplier you will pay once does not need a vendor record. One-off purchases go through a buyer of record with pass-through purchasing, so the vendor master stays clean after the cleanup.

Who This Is For

Before a system change

Organizations moving to a new accounting or purchasing system that do not want to carry old records across.

Organizations that grew one supplier at a time

Vendor lists built request by request, with no one owning the list as a whole.

Finance teams that found a problem

Teams that found a duplicate payment or a bank-detail change request they could not verify.

Supplier Rationalization: Questions We Hear

What is supplier rationalization?

Reducing your supplier list to the suppliers you need: merging duplicates, inactivating suppliers you no longer use and moving repeat purchases to fewer suppliers. It cuts the number of vendor records, invoices and payments your team handles.

How often should we clean up the vendor master?

At least once a year, which is what the Washington State Auditor's Office recommends, and before any move to a new accounting or purchasing system. Between reviews, onboarding and change rules stop the list from growing back.

Will inactivating vendors lose our payment history?

No. We inactivate rather than delete. Inactive records keep their payment history; they can no longer receive new orders or payments.

How do we stop one-time suppliers from coming back?

Give requesters another route. One-off purchases go through a buyer of record, who buys in its own name and invoices you, so the supplier never needs a vendor record.

Do you need access to our systems?

Not to start. An export of the vendor master and 12 to 24 months of payments is enough for the review. Changes in your system are made by your team or with access you grant.
